
Captive Insurance Legal Assistant

We are currently seeking a detail-oriented Accounts Payable Specialist to join our Finance Team in our Burlington, Vermont office.
Job Description: The Accounts Payable Specialist is responsible for managing the firm’s accounts payable processes, ensuring accurate and timely processing of invoices, expense reimbursements, and vendor payments. This role plays a key part in maintaining strong financial controls and supporting the firm’s accounting operations.
Responsibilities:
- Review, code, and process vendor invoices in accordance with firm policies
- Ensure proper approvals are obtained prior to payment
- Prepare and process weekly check runs, ACH payments, and wire transfers
- Process and record IOLTA (client trust) transactions in compliance with applicable trust accounting requirements
- Maintain vendor records and respond to vendor inquiries
- Process employee expense reimbursements
- Assist with month-end closing tasks related to accounts payable
- Maintain organized and accurate financial records and documentation
- Support internal and external audits as needed
- Monitor the Finance Team inbox and route inquiries to the appropriate team members
- Collaborate with attorneys, staff, and vendors to resolve billing and payment issues
- Assist with additional finance and accounting projects as assigned
Qualifications:
- Strong work ethic and reliability
- Excellent organizational skills and attention to detail
- Effective communication skills, both written and verbal
- Ability to adapt to changing priorities while maintaining a high level of professionalism in all interactions and tasks
- Capable of working efficiently in a team-oriented environment
- Proficiency in MS Office, particularly Word and Excel
- Prior administrative office experience required. Prior accounts payable or accounting experience preferred; training will be provided, with more extensive onboarding available for the right candidate
Compensation and Benefits: Starting salary: $26.00-$28.00 per hour, depending on experience. We offer a comprehensive benefits package, including:
